Billing Specialist / Secretary

CLINIC BILLING SPECIALIST / SECRETARY:

A full-time position with an excellent benefits package is available with our Behavioral Healthcare Clinic. The basic work schedule is 37.5 hours per week, Monday thru’ Friday. Join a dedicated and professional team providing vital services to our community.

JOB DESCRIPTION: The Clinic Billing Specialist/Secretary is a principal support position within the Behavioral Health Clinic. The primary focus is assisting with the successful reimbursement of services rendered. This is accomplished by collaborating with the Billing Department in regard to unreimbursed services and client balances; and working directly with clinic staff and clients to resolve insurance issues, establish payment plans, and collect on balances. The Clinic Billing Specialist/Secretary will also assist in the development of new methods of efficiency in regards to billing and collections procedures. In addition, this position is expected to assist the other support staff as needed in carrying out the day-to-day support and secretarial activities required to accomplish the work of the organization.

SPECIFIC RESPONSIBILITIES INCLUDE:

● Assists with tracking client account balances and taking necessary actions to collect payments and/or establish payment plans, resolve insurance billing problems, and reduce accounts receivable delinquency.

• Places and receives telephone calls to and from clients regarding copay, deductible, and or payment arrangements in a professional manner.

• Assists clients with completion of financial paperwork and submits required documentation to apply for financial assistance.

● Identifies issues attributing to account delinquency and non-payment, and discusses them with the Clinic Administrative Manager and/or Billing Department.

● Provides timely follow up on payment guarantees.

● Coordinates with insurance navigators to assist uninsured clients in obtaining insurance.

● Reviews billing documentation for accuracy

● Performs data entry accurately and efficiently.

● Maintains self in a professional manner at all times and adheres to The Neighborhood Center policy, procedures and the Agency Mission Statement.

● Performs other duties and tasks, including secretarial responsibilities, as assigned.

REQUIRED QUALIFICATIONS:

• Knowledge of and experience with organizational practices and general business operations.

● Knowledge of and substantial experience with office terminology and the use of office equipment.

● Possesses competent computer skills including knowledge and experience with Microsoft Office Suite.

● Possesses effective communication skills, both orally and in writing, and demonstrated ability to provide excellent customer service and work well with a variety of populations.

● Ability/experience in performing tasks accurately within a prescribed time frame.

● Ability/experience in understanding and applying regulations and procedures.

● Experience entering information into computer demographic (client information) screens.

● Organized and experienced in thorough follow-up of work tasks.

● Experience in data entry and proven accuracy in data entry skills.

● An Associate’s Degree in Secretarial Science or closely related field with two (2) years of secretarial experience and related experience in medical and/or behavioral health insurance billing and collection, including Medicaid and third party payers.

OR

● A High School Diploma/Equivalency Diploma with four (4) years of secretarial experience and related experience in medical and/or behavioral health insurance billing and collection, including Medicaid and third party payers. EOE
