POSITION: Senior Secretary
- FULL TIME 35.7 hours per week M-F with excellent benefits package
- Requires at least one 12:00pm-8:00pm shift
JOB DESCRIPTION: A Senior Secretary is the principle support position in an office, assisting in the development of new methods of efficiency and managing the day-to-day support activities required to accomplish the work of the organization as assigned. The nature and variety of activities depends on the program area in which the Senior Secretary works and requires knowledge of the organizational context of the unit, the agency and the program(s) with which it is associated. Tasks performed generally fall into five broad categories requiring that the Senior Secretary have a high level of awareness of interactions in the organizational unit: communication, coordination, organization, management and records maintenance. Within these general categories Senior Secretaries perform a variety of tasks, which enable managers and program staff to accomplish the mission of the agency.
SPECIFIC RESPONSIBLITIES INCLUDE:
- Performs a wide variety of tasks in support of administrators and professional staff.
- Functions generally independently to complete tasks such as overseeing and organizing work flow and designing office filing systems in the office in accordance with policies and procedures of the agency.
- Organizes, coordinates, and manages the activities in the organizational unit.
- Maintains efficient workflow by assisting in coordinating, assigning, and reviewing the work of other support staff within the unit. Supervises the work of other staff in the unit if assigned to do so by the supervisor or administrators.
- Directs incoming correspondence to appropriate personnel.
- Responds to phone calls and visitors and responds to questions.
- Assists in coordinating information by acting as liaison between supervisors, other employees and the public.
- Assists supervisors on special projects and in researching background information, if needed.
- Reviews outgoing correspondence for grammatical usage, clarity, factual accuracy, compliance with policy and ensures appropriate background information is attached.
- Maintains self in a professional manner at all times, adhering to Neighborhood Center policy and procedures and in keeping with the mission statement.
- Performs other duties as requested by Agency Administration.
REQUIRED QUALIFICATIONS:
- Demonstrated thorough knowledge of principles and practices of secretarial performance.
- Demonstrated knowledge of general organizational practices and policies.
- Demonstrated knowledge of office terminology, office equipment and the operations and functions of the department to which assigned.
- Demonstrated experience in interacting well with others and in securing their cooperation.
- Demonstrated ability to communicate effectively, both orally and in writing
- Demonstrated experience in workplace problem solving.
- An Associate’s Degree in Secretarial Science or a closely related field and four (4) years secretarial experience as outlined in the above.
OR
- A High School Diploma/Equivalency and five (5) years of experience as outlined in the above.
