Executive Administrative Assistant

JOB DESCRIPTION: An Executive Administrative Assistant assists in the development of methods to facilitate efficiency and the management of the day-to-day administrative support activities required to accomplish the work of the organization. The nature and variety of responsibilities depend on the workflow needs of the Executive office and requires knowledge of the organizational context/programs of the agency. Within the context of administrative support, the Executive Administrative Assistant performs a variety of tasks, which enables the Executive and administration to accomplish the mission of the agency. Independent judgment is required to plan, prioritize and organize a diversified workload.
SPECIFIC RESPONSIBLITIES INCLUDE:
- Performs a wide variety of tasks in an independent manner in accordance within agency policies and procedures in support of the Executive and administrative staff as assigned.
- Initiate and execute projects as needed to enhance the workflow and operations of the Executive office.
- Develops systems to manage data and information to enhance communication flow and recommends changes in office practices or procedures to expedite or streamline workflow.
- Works independently on special nonrecurring and ongoing projects. Acts as a coordinator/manager for special projects at the request of the Executive, which may include initiating, designing and monitoring databases and other agency related materials.
- Assists on special projects and in researching background information and gathers data relevant to special projects as well as prepares, organizes, inputs and analyzes data for the Executive.
- Reviews outgoing correspondence for grammatical usage, clarity, factual correctness, compliance with policy and ensures appropriate background information is attached.
- Organizes, coordinates, and manages the Executive and administrative support activities in the office as assigned.
- Maintains records and administrative information to enhance the operation of the office.
- Assists in coordinating information by acting as liaison between the Executive office and supervisors, other employees and the public as necessary.
- Responds to phone calls and visitors as necessary and directs incoming administrative correspondence to appropriate personnel.
- Maintains self in a professional manner at all times, adhering to Neighborhood Center policy and procedures and in keeping with the mission statement.
- Performs other duties as requested by the Executive Director or his/ her designee.
REQUIRED QUALIFICATIONS:
- Thorough knowledge of principles and practices of support services performance as well as knowledge of organization practices and policies.
- Possess a high level of self-motivation and excellent written and oral communication skills.
- Ability to receive and handle confidential, sensitive and non-routine information appropriately.
- Knowledge of office administrative procedure, terminology and office equipment at a level generally acquired through substantial similarly situated experience.
- Possess excellent knowledge and skills with a variety of computer software applications including a high level of proficiency in Microsoft Word, Excel and Access.
- Possess a high level of positive interpersonal skills and the ability to secure the cooperation of others.
- Ability to problem solve effectively and independently.
- Ability to meet the physical demands of the position.
A Bachelor’s Degree in Business or closely related field from a regionally accredited or New York State registered college or university and three (3) years of related experience with a public agency or private business.
OR
An Associate’s Degree in Business or closely related field from a regionally accredited or New York State registered college or university and four (4) years related experience as outlined in the above.
OR
A high school diploma or a high school equivalency diploma and five (5) years of experience as outlined in the above.
OR
An equivalent combination or training and experience as defined by the limits of the above.
